Pickleball tournament checklist

What to check from the day registration opens to your last match: sanctioning and membership, entry and eligibility, approved equipment, withdrawals and refunds, check-in and reporting time, and what to pack.

Most of what goes wrong at a first tournament happens before the first serve: an event entered at the wrong level, a partner who never registered, a paddle that is not on the list, a missed call to court. This checklist follows the 2026 USA Pickleball Official Rulebook (Sections 15, 16, 18 and 22), USA Pickleball's sanctioning and tournament director pages, and the player help pages of the two main tournament platforms, pickleball.com (PickleballTournaments) and the Pickleball Brackets manual. Where they differ, both are shown. For how brackets are played see tournament formats; for age and skill brackets see tournament divisions.

The timeline at a glance

Tournament timeline: registration window and tournament day Top: a bar running from 90 days before the event to the event, split into three refund bands of an example policy, full refund from 30 days out, 50 percent from 29 to 15 days, none in the last 14 days, with markers for registration opening and closing. Bottom: tournament day, with check-in at least 30 minutes before the bracket starts, a short warm-up, the match call, a game forfeit at 10 minutes and a match forfeit at 15 minutes in a multi-game match. Numbered markers refer to the list below. WEEKS BEFORE (days before the event) TOURNAMENT DAY (not to scale) Full refund 50% None 9030150 Closes: director's date Opens: up to 90 days out Check-in Warm-up 0-10 min 10-15 min Bracket starts Match called Game forfeit Match forfeit 30+ min before 2-3 min 1 2 3 4 5 6 7
  1. USA Pickleball suggests directors open registration no more than 90 days before the event.
  2. Refund bands from pickleball.com's example policy for directors (full refund 30+ days out, 50% at 15–29 days, none inside 14 days). Each tournament sets its own policy.
  3. The closing date is set by the tournament director; after it you can no longer edit your entry online.
  4. USA Pickleball's director guide: check players in at least 30 minutes before the brackets start. Some events open check-in earlier.
  5. The same guide limits warm-up to 2 to 3 minutes; players "on deck" are told so they can warm up in time.
  6. Rule 18.F: report within 10 minutes after your match is called, or forfeit the first game (18.F.1).
  7. In a multiple-game match, not reporting within 15 minutes forfeits the match (18.F.2).
Drawn for this site from the 2026 USA Pickleball rulebook, USA Pickleball's tournament director guide and pickleball.com's refund best-practices page (see Sources). Top bar to scale in days; the registration closing marker and the tournament-day row are not to scale.

1. Sanctioned or not

A sanctioned event is run under USA Pickleball's rules and sanctioning terms. That changes several things for the player:

ItemSanctioned eventSource
MembershipYou must be a "USA Pickleball member in good standing"; USA Pickleball's FAQ answers "Yes. This is a requirement."Sanctioning page, FAQ (June 1, 2021)
Rating creditMatches count 100% toward your UTPR; non-sanctioned events have counted 0% since April 1, 2021Sanctioning page
BallThe director must declare a ball from the approved listSanctioning page, Rule 16.G
RefereesStandard: every match refereed. MMP: referees for the winner and consolation bracket finals and the medal matches. No-Referee: a Certified Referee onsite as head refereeSanctioning page
InsuranceSecondary accident cover for members and participants; it acts as primary for players with no insurance of their ownSanctioning page
House rulesThe director "must not implement or impose any rule that is not provided in this Rulebook"Rule 16.F

If the event is self-officiated, you will call your own lines; read line calls first. Non-sanctioned events set their own terms, so read the event page.

2. Eligibility and registration

On pickleball.com, "events are filtered by your rating and age"; a grayed-out event means you are not eligible. If the event uses DUPR for eligibility, your DUPR account must be linked. In doubles the higher-rated partner sets the team's skill level (15.A.3.b) and, in adult events, the younger partner sets its age (15.A.3.c). Details and the play-up and play-down rules are on tournament divisions and skill ratings.

  1. Create the account on the platform the event uses, with a payment method on file. Most tournaments collect payment at registration.
  2. Pick events that do not overlap. Rule 15.D bars entering several events on the same day with overlapping times. Each entrant gets at least two scheduled matches per event (15.F), except in single elimination without consolation.
  3. Name your partner with first name, last name and email. On pickleball.com the partner must have an account of their own. The Pickleball Brackets manual warns that naming a partner "does not enter the partner into the tournament"; they "still have to register on their own."
  4. Sign the waiver and pay. USA Pickleball's director guide says all fees must be paid and waivers signed before anyone plays.
  5. Note the closing date. It is "set by the tournament director." Edits online work only while registration is open; after that, use the event's contact form.

3. Paddle, ball, shoes and clothing

CheckWhat the rules sayRule
Paddle on the list"Players must confirm that their paddle is approved and listed on the USA Pickleball Approved Paddle List"; it must carry the "USA Pickleball Approved" seal or text and a brand and model name or number18.A, 3.D.1
Paddle found illegal before the matchSwitch to a compliant paddle, no penalty18.A.1
Found during the matchMatch forfeit18.A.2

BallThe director chooses it from the approved list; check which one before you practice16.G
ShoesSoles that do not mark or damage the surface; see court shoes18.B.2
ClothingGraphics and writing "in good taste"; refusing to comply can bring a match forfeit18.B.1, 18.B.4
ElectronicsNo headphones, earbuds or other audio-communication devices18.D

Look up your exact model in USA Pickleball's equipment database; each entry shows a status and the date it was added. Decertification "only applies to sanctioned tournament play"; such paddles remain usable recreationally. Specifications are on paddle specs and ball specs.

4. Withdrawals, refunds and forfeits

TermRulebook definition (Section 2)
WithdrawalA player's or team's "decision to be removed from all upcoming play in a specified bracket"
RetirementA "decision to discontinue playing in a match in progress"
Forfeit"The awarding of a game or a match to the opponent due to a violation of the rules"
  • Round robins: a team that withdraws, retires or is forfeited has its results removed from the standings (15.B.4.a).
  • Partner changes: possible before a first-round match with the director's approval; prohibited once the partners start team play (18.G).
  • Withdrawing online: on pickleball.com, Edit Registration, then "Withdraw From Tourney," which "will withdraw you from the tournament completely"; to drop one event, switch that event off instead. In Pickleball Brackets, the red withdraw button. After registration closes, contact the director.
  • Refunds: pickleball.com says refund "decisions, timelines, and amounts are entirely at the tournament director's discretion." Its best-practices page for directors notes the card processing fee is typically non-refundable, and its no-show page says most tournaments do not refund no-shows. Read the event's policy before paying.

5. On the day

  • Check in early. USA Pickleball's guide says at least 30 minutes before the brackets start; The Dink (May 1, 2026) says most tournaments open check-in one to two hours before play. Use the time the event posts.
  • Watch the schedule. "It is the responsibility of each player to check the posted schedules and notifications of schedule changes" (18.E).
  • Report within 10 minutes of your match being called (18.F). pickleball.com's no-show page calls a 10–15 minute grace period common and suggests directors call or text before declaring a forfeit; the rulebook times above apply in sanctioned play.
  • Time-outs and coaching: two standard time-outs per team in each 11- or 15-point game (21.A); coaching from anyone but your partner outside a time-out draws a warning (22.B.7). See time-outs.
  • Conduct after the match goes to the director, who may penalize the player's next match (22.A.2).
